JOB SUMMARY This position provides administrative support and will liaise with internal staff at all levels, while maintaining confidentiality.
The incumbent will track and report facility and environmental issues, manage office inventory and equipment by performing consistent stock checks, anticipating needed supplies, placing orders for supplies, and will schedule maintenance for equipment service and repairs as needed for the hospital when requested.
This position will actively participate in day-to-day office activities, including a variety of meetings and task force groups to improve procedural processes, obtain approvals, and remain abreast of new developments and policy requirements.
The Administrative Assistant will also assist with daily office duties as needed to ensure front office coverage.
DUTIES AND RESPONSIBILITIES Proven success implementing rational decision making quickly, meticulous attention to detail, administrative task management, and astute organizational skills.
Must be able to work under pressure and quick deadlines at times to handle a wide variety of activities and confidential matters with complete discretion in a professional manner.
Manage an active calendar of appointments, completing expense reports, composing, and preparing correspondence.
Works closely and effectively with the CEO keeping well informed of upcoming commitments and responsibilities, following up appropriately.
Email management, Creating PowerPoint presentations.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting external and personal correspondence, and managing other tasks that facilitate the CEO.
Provide administrative support to the team, including scheduling appointments and coordinating meetings.
Answer phone calls and respond to emails in a professional and timely manner Prepare and edit documents, including correspondence, reports, and presentations ADMINISTRATIVE TASK Answer phone in friendly and professional manner.
Make copies, send email and faxes as needed Distribute mail Maintain Staff/Client Calendar Provide admission and hospital information to prospective patients and families as needed Clear communication with supervisors and co-workers Maintain appropriate boundaries and ethical behavior at all times with patient, families and other professionals.
Communicate and/or travel to other facilities if needed to pick up supplies, office supplies, food for office event when needed.
Maintains strict client confidentiality.
Provide general management and coordination of office/hospital needs Participate in staff meetings as needed.
Maintains documentation and files in an organized manner Other duties as assigned.
REQUIREMENTS High School Diploma or equivalent from an accredited institution.
College degree preferred.
Three or more years of experience in an administrative role in a professional office environment.
Proficiency in Microsoft Word, Excel, PowerPoint, Outlook-Calendaring & Scheduling as required by the position.
Must be innovative minded, and excel at working within an ambitious, entrepreneurial environment that is mission-driven and results-driven.
